FRONT DESK OFFICER AT ALLIANCE FRANÇAISE HYDERABAD

Job Description:

Reporting to the Course Director, the receptionist is responsible for managing and organizing the AFH institute’s front desk and information.

He/she assists visitors with their administrative queries and may be required to arrange a meeting with the relevant department or the concerned person. Fluent in several languages, the FDO is the first point of contact for a culturally and linguistically heterogeneous public.

Reports to: Course Director.

Main duties: The receptionist receives and processes requests from the customers/students or any other visitors, whether in person, by telephone and/or email.

MISSION AND ACTIVITES:

1. Welcomes all types of visitors whether in person or over telephone/email.

● Greet the public courteously.

● Provide information to the public in person or by telephone.

● Receive, filter and direct calls accordingly.

● Identify and manage the queries and their degree of urgency according to the calendar of courses and examinations calendar and/or as per directions given by the Director/Pedagogy director.

2. Maintain reception and direct the visitors to the various services/departments:

● Provide information on the organization and functioning of the Alliance (what it is, its courses and

courses and exams it offers).

● Provide a high-quality reception service that enhances the brand image of AFH.

● Direct the visitors to the appropriate department (pedagogical department, accounting in the case of cash payments, library, director), accompany them and introduce the visitors if required.

● Manage customer requests, issue administrative documents (certificates of attendance,

Attestation certificates, mark sheets, translated documents etc.,).

● Advise and guide prospective students or customers.

3. Enrolment management and learner follow-up

● Manage enrolments for French courses (fill in and maintain the reports).

● Manage registrations for the French exams (DELF/DALF, TEF exams, Assessment exams etc.,).

● Register each student in Hanaf software.

● Check valid documents (ID proof, Hall ticket) in case of candidates taking French exams.

● Handle payments for registrations in case of credit card transactions.

● Send the details of the student payments to the accounting department (send payment confirmation, proof of student identity and the receipt for verification).

● Call the students who are absent from classes after 3 absences or as suggested by the pedagogy team.

● Remind the prospective students who have not enrolled in courses.

● Send the course and exam information to the students.

● Send the information related to registrations and specific requests to the pedagogical department and management.

PROSPECTION

– Contribute to the recruitment and retention of prospects in the area by managing inquiries and providing information (responding to emails and phone calls, conducting individual meetings, etc.) until their arrival in Strasbourg. PROMOTION / COMMERCIAL RELATION / DEVELOPMENT
– Set up, participate in and monitor sales events (Students fairs, forums, webinars, presentations of establishments, etc.).
– Coordination of relations with French-speaking bodies in the area (Campus France,Consulates, French Institutes), monitoring and creating close links with Franco-Indian institutions in the region: IFI, IFCCI, Business France, etc. Promote awareness of the school among key influencers (head teachers, guidance counselors, etc.) as well as directly to students through open days, conferences, and other events. Additionally, engage with partners to strengthen visibility and outreach.
– Identify and develop strategic relationships (partnership agreements) with higher education institutions (business schools and universities) and high schools.
– Develop, strengthen, evaluate, and manage a network of agents.
– Collaborate with educational institutions to promote the school’s programs.
– Develop, strengthen, evaluate, and engage an alumni network while training ambassadors.
– Contribute to the school’s communication and promotional efforts.
